【Job Responsibilities】

  • Provide comprehensive administrative support to senior managers in the Data and Engineering departments, including managing schedules, coordinating travel, and handling daily operational tasks.
  • Continuously improve administrative processes and procedures to enhance efficiency and effectiveness within the team.
  • Organize regional events and manage logistics for internal and external activities, such as all-hands meetings, department meetings, travel arrangements, accommodations, and hosting regional and global partners.
  • Maintain a shared event calendar, send reminders, ensure smooth internal meetings and visits, and provide excellent customer service to all visitors.
  • Compile, edit, and distribute reports, presentations, organizational charts, and other required documents. Collaborate with relevant personnel to gather necessary information and record and share meeting minutes as needed.
  • Act as a core communication node, ensuring timely and accurate information sharing between departments and the global administrative team. Actively participate in global administrative forums.
  • Serve as the primary contact for internal and external inquiries, assess urgent situations, and take appropriate action, providing confidential support to senior management.
  • Support various ad-hoc projects and tasks as needed, adapting to changing office requirements.

 

【Qualifications】

  • At least 7 years of administrative-related work experience, including office management or senior administrative assistant experience.
  • Fluent in English and Vietnamese.
  • Proficient in Google Workspace (Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint).
  • Excellent organizational skills with the ability to effectively manage multiple tasks, deadlines, and priorities.
  • Outstanding communication and presentation skills, confident in interacting with senior management.
  • Broad understanding of business operations and experience supporting global and remote teams.
  • Ability to work independently, with resource integration skills and proactive task and project management.
  • Excellent interpersonal skills with experience successfully supporting senior management in complex organizations.
